Rules of the Bourtons Gardening Club
1. The club shall be called “The Bourtons Gardening Club” hereafter referred to
as "the Club"
a) foster an interest in good gardening and related topics.
b) share/ swap gardening advice, materials etc.
c) encourage and arrange visits to gardens shows etc. and arrange visiting speakers
d) take advantage of opportunities for concessionary rates, discounts, etc.
e) take part in any other garden-related activity that members feel appropriate.
4. The running of the Club shall be managed by a committee consisting of Chairman, Secretary and Treasurer and a minimum of two ordinary committee members, all to be elected at the Annual General Meeting.
5. At least one week’s notice shall be given in writing or by public announcement of an AGM or Extraordinary General Meeting. The conduct of business shall be such that:
a. resolutions may be passed by a simple majority when there is a quorum of at least six members present. In the event of a tied vote the Chairman shall have the casting vote.
b. in the absence of a quorum the meeting shall be postponed and two weeks’ notice given of another meeting, giving details of any resolutions to be presented.
c. if at this subsequent meeting a quorum is not achieved a resolution may be passed by a simple majority.
6. The Club’s financial year shall end on 31st December and an Annual General Meeting shall be held during the following January.
7. The annual subscription shall be fixed at the AGM for the twelve months following.
8. Membership and entitlement to concessions and discounts shall only be effective on payment of the appropriate membership fee.
9.The name of any member whose sdubsciption is more than three months in arrears may be removed from the membership list.
10. Visitors may attend Village Hall talks, and will be charged £2.00 per visit.
11. Visitors may attend one Club outing, as included in the published Programme, free of charge, after which he/she will be expected to join the Club. All charges made by owners of visit locations must be paid by the visitor.
12. Visitors may attend the Annual General Meeting in January without charge but may not address the meeting.
13. Visitors to the Christmas meal in December shall attend only by invitation of a member of the Club, agreed in advance by the committee and shall pay a charge as set by the committee.
14. If the total numbers attending any Village Hall event exceeds the maximum allowed under Village Hall Committee Rules, regular Bourton's Garden Club members shall be given priority over visitors. who may be asked to leave.
15. The Secretary shall keep minutes of all committee, Annual and Extraordinary General meetings and conduct and keep the general correspondence of the Club. Minutes will be published on the www.bourtons.net village web site.
16. The Treasurer shall collect all subscription and other monies, and make payments after authorisation by the Committee. At the close of each Club financial year a balance sheet shall be drawn up by the Treasurer and approved at the AGM.
17. All cheques require the signatures of two of the authorised signatories, consisting of Treasurer, Chairman and Secretary.
18. No alteration of, or addition to, these Rules shall be made except by the Annual General Meeting, or an Extraordinary General Meeting called in accordance with the rules above.
